Payment

At KaffeK, you can pay using a range of different payment methods. The available options are displayed at checkout, so you can choose your preferred method.

All prices are stated in British Pounds and include VAT and applicable taxes. We do not charge payment fees. However, we recommend reviewing the terms and conditions of your chosen payment provider, as some providers may charge fees in special cases, such as when your selected payment method cannot be charged or a payment fails.

Only persons of legal age, or persons with consent from a parent or legal guardian, may place orders with us.

 

Delivery

Shipping costs are calculated based on the shopping cart size and displayed at checkout.

Smaller orders generate more waste and are less environmentally sustainable. To reduce environmental impact, higher shipping fees apply to smaller orders.

Delivery is available only within the UK.

The selected shipping method is stated in the order confirmation. Orders are normally packed as soon as possible, but delays may occur during peak periods.

If delivery to a parcel shop is selected, we cannot guarantee delivery to the chosen location if it is full. In such cases, delivery will be made to the nearest available parcel shop.

If a shipped parcel cannot be tracked, an investigation may be initiated with the shipping provider. This process may take up to 7 days, although most cases are resolved within 1–2 days.

If a package arrives damaged, please contact us within 5 days and include photos of the package as you received it and your order number so we can start a claim with the shipping company. Retain the packaging as you received it until further instructions are provided.

To make sure your order reaches you smoothly, please double-check that your delivery details are correct and complete when placing your order. If a parcel is returned to us - for example, due to an incorrect address, a missing detail, or if it wasn't collected in time – we will be charged an additional fee from the carrier, and we'll need to apply a small return handling fee of £10. This will be deducted from your refund or charged separately.

 

Order Cancellation

Orders are processed quickly to ensure fast delivery. Therefore, we cannot guarantee that an order can be changed or cancelled once it has been placed.

Requests for cancellation or changes should be submitted to customer service as soon as possible. You can do so via phone on +44 01400 220168 within our opening hours, or via email at [email protected] outside our opening hours.

 

Right of Withdrawal

You have the right to withdraw from your purchase without stating a reason within 100 days of receiving the goods. If the withdrawal deadline falls on a holiday, Saturday, bank holiday, Christmas Eve, or New Year’s Eve, the deadline is extended to the next business day.

 

Exceptions to the Right of Withdrawal

The right of withdrawal is forfeited if the product packaging is broken or the product has been used. Products that cannot be resold due to use may be refused.

The right of withdrawal does not apply to food products, including coffee and tea, with a shelf life of less than 90 days at the time of return.

 

Force Majeure

KaffeK is not liable for delays caused by circumstances beyond our control, including, but not limited to, strikes, fire, supply shortages, government intervention, cyberattacks, IT failures, illness‑related transport restrictions, or a lack of transportation options.

Such events do not entitle the customer to compensation or termination of the purchase agreement.

 

Exercising your Right of Withdrawal

If you wish to withdraw from a purchase, you must contact customer service before returning your order.

You exercise your right of withdrawal by providing us with written notice before the withdrawal period expires, by sending an email to [email protected] and stating your order number. 

If you choose to withdraw from the purchase by refusing delivery or by failing to collect your package, you must follow the same procedure and notify is in writing within the withdrawal period.

 

Returns

Returned items must be sent within 14 days of notification of withdrawal. You are responsible for the shipping costs associated with returning an order. If you have not paid the return shipping costs, we will deduct £10,  as compensation for the return shipping costs. 

If a parcel is returned to us because you did not pick up your parcel from a parcel shop, or if the shipping provider has tried but failed to deliver your package (due to a wrong address, for e.g.), we will refund your purchase minus a £10 return fee.

All items must be returned in their original packaging and packed securely. It is your responsibility to ensure the safe transport of the items, just as it is our responsibility to ensure that they are packed securely when they are shipped to you. As such, it is also important that you obtain proof of shipment, so that the package can be tracked and insured.

 

Complaints

If you purchase an item and discover that it is defective, you may submit a complaint by contacting us. If there are errors or defects in the order you have received — for example, material or manufacturing defects, or missing items in your order — please contact us no later than 7 days after you have received the package.

It is important that you retain the packaging and the product until your complaint has been processed. If you fail to do so, we may be required to reject your complaint.

Special provisions regarding machines

If a machine you have purchased from us stops functioning or shows faults, you must contact us and provide your order number and a description of the issue, including any relevant documentation (e.g. photos or videos).

In connection with a complaint regarding a machine, we are required to forward the information you provide to the machine manufacturer. We often need to consult with the manufacturer before we can offer a final solution. This means that complaints concerning machines may have a slightly longer processing time.

If the manufacturer requires the product to be returned, KaffeK will, of course, cover reasonable costs associated with returning the product.

 

Refunds in Case of Withdrawal, Returns, and Complaints

When you exercise your right of withdrawal, you will be refunded using the same payment method you used for your purchase. If you would like a different refund method, it is important that you indicate this when you send notice of withdrawal.

We will issue your refund no later than 14 days after we have received the returned goods and verified that they comply with our return conditions. Please note that, in some cases, it may take 3 to 5 weeks for shipping companies to return the package to us, depending on which carrier handles the return shipment.

 

Storage of Food Products

Coffee and other food products in our assortment should be stored in a dry, dark, and cool place.

 

Special Provisions for Business Purchases

If a VAT number is provided on your order or a company name appears in the billing address, you will be considered a business customer.

For business customers, the right of withdrawal and product warranty do not apply. However, you are, of course, entitled to a 12-month right to submit a complaint.

If your goods show visible shipping damage, you must submit a complaint on the day they are received. If the goods have hidden damage, you must submit a complaint within 5 business days after receipt.

 

Personal Data

When you shop at KaffeK.co.uk, you must, as a minimum, provide the following information:

We also record the IP address from which your order is placed.

Please note that your personal data will only be used if you have given your explicit consent in advance, unless applicable law permits us to contact you without obtaining prior consent.

In connection with the purchase of goods, it may be necessary to disclose information to third parties, for example, a shipping provider. By placing an order on kaffek.co.uk, you therefore consent to KaffeK ApS disclosing the information necessary for the completion and delivery of your order to third parties. The selected shipping provider acts as a data processor for this purpose.

When payment is made by credit card, the relevant information is transmitted directly and encrypted to our payment provider.

Your personal data will be deleted when we no longer need to process it for any of the above purposes, or when we are required to comply with the Danish Bookkeeping Act or other applicable legislation. The data may, however, be processed and stored for a longer period in anonymized form.

If you have created a user account, we will not delete your personal data unless you request us to do so. You may make such a request by contacting us at [email protected].

KaffeK ApS does not have access to your card details. We disclose personal data only when required by law or pursuant to a court order. In some cases, we may record your behaviour on KaffeK ApS’ websites to ensure you have the best possible user experience and to tailor our marketing efforts. For marketing purposes, we share selected information with our partners. As a visitor to Kaffek.co.uk, KaffeK ApS may also collect non-identifiable information.

This is done, among other things, to determine which of our products are the most popular. KaffeK ApS is responsible for the collection and processing of data on kaffek.co.uk.

Apart from the above, we do not disclose your personal data to third parties unless this occurs in connection with a restructuring or a full or partial sale of the company. In such cases, any disclosure of personal data will always take place in accordance with applicable data protection legislation.
